  • Job Description

    The Firm’s Professional Legal Administrator/Chief Operating Officer is an executive-level position with significant discretion and broad responsibility for the management of both firms' business operations and the supervision of its non-attorney employees.

     

    The position has a wide range of duties and obligations with involvement in all parts of the business, including finance, legal production, office facilities management and human resources.

     

    The Administrator keeps the office's needs in the forefront and works closely with the CEO and rest of management on strategy, planning, leadership, culture, policy, problem-solving, and decision-making.

    Responsibilities

    1. Manage and supervise the non-attorney staff to ensure a high level of performance and compliance with the administrative rules and adherence to the firm’s cure and value propositions

    2. Maintain oversight of the production of the matters to ensure quality and timely legal performance is provided.

    3. Administering the firm’s net promotor score to existing clients and ensuring a high level of client experience
    4. Performing all of the firm’s HR functions including candidate recruitment, attraction, hiring, onboarding, and training
    5. Measurement of the firm’s most important key performance indicators including hours billed, client satisfaction and cannabis application metrics
    6. Ensures that the Firm’s business systems & processes are fully documented in writing and available to employees as needed
    7. Performs audits & spot-checks and takes proactive steps to find whether policies and procedures are being followed and ensures that processes and systems are operating as intended

    Qualifications

    • Exceptional communication skills, both oral and written, coupled with excellent listening skills and a positive and energetic phone presence

    • Either previous successful sales experience or a strong desire to begin a highly successful sales career

    • Track record of meeting and exceeding goals
    • Naturally curious and passionate; you’re a lifelong learner
    • A "one-speed" energy with a highly self-driven sense of motivation
    • The ability to deal with and thrive on objections and rejection on a daily basis
    • Positive attitude
    • Team player, a bridge between those in our office (where you’ll be located) and our remote employees

    Minimum Education & Experience

    • Bachelor’s degree in Business, Accounting or a related field, or equivalent work experience

    • Significant supervisory experience and experience working in a professional services firm

    Preferred, but not required, qualifications

    • Experience in law firm budgeting, legal production, and/or human resources

    The key performance indicators upon which performance will be reviewed for this position include:

    1. Achievement of firm’s gross revenue projections/goals

    2. 90% of project-based deliverables are accomplished on-time and within budget

    3. Growth of the percentage of employees who are identified as A and B team members
    4. Increase in the number of five star client reviews and positive net promotor scores
    5. Achievement of high levels of customer experience and satisfaction

    The PLA must identify and emphasize the firm’s culture and value propositions. The firm’s culture speaks of the requirement that all employees take 100% ownership of the firm’s work, ensuring professional excellence while working cohesively as a high performing team with a high level of client centered focus.

     

    The responsibility of the PLA is managing specialized work efficiently, with confidence and competence. The position requires above average attention to details, concern for the exact correctness of work, and strong commitment to tasks completed on time.

     

    This person holds a strong sense of duty to the firm, and is disciplined. A somewhat faster-than-average pace will be the norm for this position. Detailed and specialized work is the major focus.

     

    The firm will provide ongoing and thorough training opportunities to develop expertise and increase confidence, and frequently expressed appreciation of the person’s competence, conscientiousness, and loyalty. The position will provide security in a stable work environment, allowing the person to plan for, focus on and complete tasks on hand.

     

    When changes in the nature of the work occur, the person in this position will be provided direction, training and support. The firm’s CEO believes in proper training and instruction of all team members is important as well as adherence to the firm’s standard operating procedures to ensure a high level of consistent performance and client satisfaction.

  • Compensation, Benefits and Bonuses

    The firm uses a performance based compensation model. The lowest base compensation is $80,000 which will increase commensurate with a candidate’s experience. The base salary will be earned when the minimum levels of performance are achieved. When KPIs have been exceeded, bonus compensation is then earned; the amount of which is commensurate with the value to the firm. A very successful PLA will have the opportunity to earn in excess of six figures. A full benefit package is included which includes health & disability insurance, 401k, paid time off, paid holidays, and more.

    Office Work Environment

    The firm currently resides in Class A fully renovated office space located in downtown Royal Oak in close proximity to several retail and restaurant destinations. We have a private parking lot and work in a private office which maintains about 15 employees therein. Employees and clients love our office space which is representative of our success. The firm fosters a team culture and encourages the building of friendships between team members outside of work. The firm maintains an annual golf outing, hosts several team building activities and holiday parties.

    Selection Process

    The firm is very selective when adding team members. It is important that we take the time to ensure the right mutual fit. All elected candidates will undergo a comprehensive selection process. Selected candidates will undergo cognitive and behavior assessments, a screening interview (Zoom), a focused interview (in person) reference checks and the CEO interview (in person).
